Yes. In addition to the vendor’s training materials for administrative SIS users, the implementation team will develop training materials and facilitate training opportunities for 5C students and faculty.

We will schedule these during the middle of the 2026 spring semester. We will coordinate faculty sessions with the Academic Deans Committee (ADC).

The SIS project is the effort by the five undergraduate institutions (5Cs) of The Claremont Colleges (Pomona College, Scripps College, Claremont McKenna College, Harvey Mudd College, and Pitzer College) and The Claremont Colleges Services (TCCS) to transition to Anthology Student, a new student information system (SIS).

The SIS project will impact the management of academic records, course scheduling, degree audits, academic advising, student accounts, institutional research, and internal and external reporting. Currently, students and faculty engage with the Jenzabar CX SIS through what is commonly referred to as “the portal,” wherein students manage their accounts and course schedules, and faculty manage their class rosters, grades, and advising responsibilities.

In addition, the SIS facilitates student and faculty records management, transcript services, degree and enrollment verifications, degree progress auditing, and institutional research. It also interfaces with other systems supporting essential campus functions such as admission, financial aid, and residential life.

What is Anthology Student, and why was it selected?2024-10-01T14:27:52-07:00

Anthology Student is a cloud-based student information system. The Claremont Colleges identified Anthology Student through an SIS market analysis and vendor selection process, with the support of Strata Information Group. Anthology presented a proof-of-concept of its Student product to 5C stakeholders. It demonstrated the product’s functionality aligned with the Colleges’ critical needs, including support for cross-registration, abundant integrations with third-party systems, a contemporary cloud-based technical infrastructure, and flexible configuration capabilities. Through our rigorous vendor selection process, the Colleges obtained feedback from over 50 5C functional and technical subject matter experts, which confirmed Anthology’s ability to meet the Consortium’s needs. Reference calls with other Anthology clients also supported this assessment and inspired confidence in the vendor’s commitment to customer success.

Why are the undergraduate institutions of The Claremont Colleges transitioning to a new student information system?2024-10-01T14:28:14-07:00

The current student information system at the 5Cs was implemented over 20 years ago. That product is built on outdated on-premises technology, has been highly customized, and is approaching end-of-life. This leaves the 5Cs in a precarious position where academic operations rely on a fragile technical infrastructure and a diminishing pool of experts capable of maintaining it. The Consortium needs to transition away from its present system and implement a contemporary SIS that can meet The Claremont Colleges’ unique needs for the next 20 years.

Who is managing the SIS project, and what measures have been taken to ensure that the individual needs of the five colleges are being taken into account?2024-10-01T14:29:22-07:00

The 5Cs have charged TCCS with assembling a team to manage the SIS implementation in collaboration with 5C SIS users and implementation consultants from Anthology. Staff members from the Registrar, Student Accounts, and Information Technology Services offices from each of the colleges, alongside colleagues from various other offices, are substantially engaged. The Claremont Colleges and TCCS are committed to preserving the security and confidentiality of student records. As we do for our legacy system, we will employ a combination of technological measures, best practices, and policies to regulate access to Anthology Student. Anthology incorporates robust security features that conform to industry standards. Yes. During the implementation, 5C community members may contact the TCCS project team at sis.help@claremont.edu for technical assistance. Following the implementation of Anthology Student, TCCS will designate staff members to provide ongoing support for the system.

The new SIS will include a new faculty portal. Faculty members should anticipate navigating a new portal system to post grades, access class rosters, manage waitlists, and obtain advising information. They should also anticipate changes to the way routine academic business gets done. Some examples include new forms, approval processes, or system-generated messages. As we progress through each data conversion and testing cycle with Anthology Student, we will document such changes for training purposes.

The SIS Project Team has taken inventory of all the shared and campus-specific data integrations that rely on Jenzabar CX. These integrations are currently being redesigned to replace CX with Anthology Student as the system of record. Some of these integrations will be supported directly by Anthology; the remaining integrations will be built and maintained by TCCS or the individual colleges that utilize them.

How long do we expect to operate without a Student Information System (SIS) during the cutover period, and how will administrative offices manage student records during this time?2025-09-15T11:07:41-07:00

Anthology has advised that we plan to be without CX or Anthology Student for 10 business days. This estimate is based on other implementations, and the actual time required may vary, depending on how swiftly we can complete data conversion and validation.

Cutover is scheduled to align with a period of relatively few SIS transactions, minimizing the volume of student records updates that offices need to track and hold for entry into Anthology Student after go-live. Administrative offices will track any changes to student records during this time and will enter them into Anthology Student once the system goes live.

Can students still request permission to enroll in my course(s) in Anthology Student?2025-03-13T20:36:36-07:00

The Anthology Student portal will give 5C students the ability to request permission to enroll in a course. Instructors will use the faculty portal to access and review these requests. It will function much like the Permission to Enroll (PERM) request does in the portal today.

Because Anthology Student and the current campus portal are built with different technology, only a small number of existing custom features are being replicated in Anthology Student and will be made available at go-live.

All students that will be continuing their enrollment for Fall 2026, will pre-register for courses in April 2026 as they usually do. At the start of the Fall 2026 semester, all students from across the 5Cs will use the new Anthology Student portal to register for courses.

The new Anthology Student portal will include a dual feature called Anthology Degree Progress Audit and Degree Pathway, which will work similarly to the degree audit that is currently available through the portal.

Will I still be able to access my transcript records in Anthology Student?2025-03-13T20:42:34-07:00

The new SIS will contain 10 years of historical transcript records for all 5C students. Transcript records in Anthology Student will display all courses taken by a student in chronological order and will include program, area of study and degree progress information.

The Anthology Student portal will give students the ability to request permission to enroll in a course. This custom feature is being developed for all 5Cs and will function much like the Permission to Enroll (PERM) request does in the portal today.

Anthology Student is a cloud-based solution that is being implemented in a single tenant serving all 5Cs. While it will be a shared system, Anthology Student’s customized security models will ensure that authorized individuals can only access the data for their respective campus.

Anthology Student will support key functions such as academic records, cross-registration, degree audits, student advising, student accounts, and institutional research among others. It is also possible to extend the functionality of the new SIS through the development of new custom features.

Will all data from Jenzabar CX be migrated to Anthology Student?2025-09-15T11:06:08-07:00

We will fully convert student academic records for anyone who attended one of the 5Cs in fall 2015 or later. Historical records for students who completed their attendance at a 5C prior to fall 2015 will be partially converted.

Between June 15 – 30, 2026, all integrations with the Jenzabar CX system will be taken offline. During this quiet period, no changes will be recorded in CX. Any data coming from upstream systems during the 2-week quiet period will then be synced into Anthology Student after 7/1/26.

How is End-to-End Testing (E2E) different from other testing cycles?2025-09-15T10:11:54-07:00

End-to-End Testing (E2E) is a practice run for go-live where testers simulate daily operations in the new system. There will still be test cases in ADO (Azure DevOps), but no instructions/paths for how to conduct them. E2E is also when final security configurations are set, and we will begin orienting students and faculty to the system.

The prior testing cycles included standard configuration, data validation, and process testing.

Since we now have more time before going live in summer 2026, we anticipate developing more integrations in-house at TCC. Initially, Anthology was contracted to build some integrations, while TCC committed to building some integrations. There are opportunities to shift more of that development “in-house” to TCC.

We anticipate starting to cutover to the production of the Student Information System during the week of June 8 or June 15, 2026.

How long will Anthology continue to support us after we cutover?2025-09-15T10:28:18-07:00

Anthology typically offers three months of post-go-live support, which tapers off near the end. We are considering contracting Anthology’s Managed Services to maintain ongoing support beyond the three-month period after we are in the new Student Information System.

When do we expect to let students and faculty into Anthology’s portal?2025-09-15T10:29:33-07:00

We will target late July 2026. We will benefit from taking a couple of weeks after July 1, 2026, on the new system without students or faculty logging in to be sure the system is stable before we make the portal available.

We are developing the post-go-live governance structure to ensure an effective and transparent decision-making process. This framework is designed to foster confidence by being both inclusive and collaborative. Drawing on lessons learned from Workday governance and taking into account the diverse needs of SIS stakeholders, we are shaping a structure that supports thoughtful and consistent decisions. We are currently engaging stakeholders in early discussions and will present concepts to the Student Information System Executive Committee soon so that everyone knows what to expect.

Will we get funding to help our offices during/after the transition to the new Student Information System?2025-09-15T10:30:45-07:00

The Student Information System Executive Committee will evaluate any funding requests as we have throughout the project. The Executive Committee (SIS-EC) provides high-level oversight of the project implementation, including budget, timeline, project team structures, resources, and transition readiness strategies. The SIS-EC addresses key issues, resolves disputes, and refers recommendations to the Council of Presidents when appropriate.

Will we get more training for report writing?2025-09-15T10:32:17-07:00

We can offer additional training sessions for Views facilitated by the Anthology team. A pilot group from across the colleges has been learning Power BI report writing for the past several weeks. Currently, this effort is being transitioned under the direction of the TCCS project team and will expand to include all authorized report writers from the 5Cs.

What are the upcoming activities planned for the fall?2025-09-19T11:59:17-07:00

The TCCS and Anthology teams are currently working to create a new timeline for the project to align with the new go-live date.

The next phase of the project will be another testing period, which is expected to begin in late September 2025. This additional round of data validation and process testing (DPT5) will occur before we proceed to end-to-end testing. Feedback has been gathered from testers to define the priorities and approach for that testing effort.
